Privacy policy

What we collect and why.

Contact and tour forms. When you send a message, we receive the details you enter (name, email, phone, the home you are interested in, and your message) so we can respond to your inquiry about Charlotte Square. It is stored securely with our hosting provider, Cloudflare, and a copy goes to our leasing team, by email and in their lead list in Google Workspace. We use it for that purpose only.

Emails from us. After you send a message, we email you one confirmation that it arrived, through our email provider, Resend. It is not a mailing list: we don’t send newsletters or marketing. We count, in total and never per person, how many of our emails were delivered, bounced or marked as spam, so we know they are reaching people. Every email we send has an unsubscribe link. If you use it, we keep your address on a do-not-email list so this website never emails you again; our leasing team may still reply to your message personally unless you ask us not to.

AI assistance. To help us reply quickly, your first name, the choices you made on the form and your message are sent to Anthropic, our AI provider, which writes a short summary and a draft reply for our team to review and edit. Your surname, email address and phone number are never sent, nothing is sent to you automatically, and Anthropic does not use this information to train its models.

Site statistics. We count visits with our own privacy-first statistics: no cookies, nothing stored in your browser, and no IP addresses kept. Visits are grouped by a code that changes every day, so no one can be followed from one day to the next. We record the page, the website that sent you, any campaign tag in the link you followed, your country and your type of device, and we honor Do Not Track and Global Privacy Control. If you send us a message, we note which campaign or website brought you here that day, so we know which advertising works. Our tour page shows each visitor one of three versions, picked the same way without cookies, so we can learn which one is clearest.

Resident portal. Rent payments and maintenance requests are handled through our resident portal, operated by Rent Manager. Its own privacy policy applies to information you enter there.

Maps. Location maps on this site are embedded from Google Maps, which may set cookies according to Google’s privacy policy.

No selling, ever. We do not sell or rent your personal information. To ask what we hold about you or to request deletion, call us at (585) 748-5588.
